Plan appointment availability

Allow for preparation, missed appointments and gaps between bookings. Start with appointment history, service durations and supply costs. Each example below uses hypothetical values you can replace.

Step 01

Appointment Slots with Turnaround

Include cleaning and preparation between bookings.

Slots = floor(staffed minutes / (service minutes + turnaround))

Show example inputs and result
Available staffed minutes480
Service duration45 minutes
Turnaround per appointment15 minutes

Result: 8 appointments.

Subtract breaks before entering available minutes. This model uses one identical service duration.

Step 02

Attendance-Adjusted Booking Revenue

Forecast service revenue from actual attendance assumptions.

Expected revenue = bookings × attendance rate × average collected price

Show example inputs and result
Booked appointments100
Attendance rate90 %
Average collected service price80

Result: 7,200 .

Excludes cancellation fees and variable costs. Attendance is an entered scenario, not a promise.

Step 03

Unused Booking Capacity

Estimate contribution associated with unfilled booking capacity.

Unused contribution capacity = slots × unfilled share × contribution

Show example inputs and result
Bookable monthly slots200
Unfilled share15 %
Contribution per filled slot60

Result: 1,800 per month.

Only if demand, staffing, and timing align. Separate avoidable booking gaps from genuine lack of demand.

Step 04

No-Show Contribution Loss

Model missed contribution from unfilled no-show appointments.

Loss = bookings × no-show rate × (1 − refill share) × contribution

Show example inputs and result
Monthly bookings150
No-show rate8 %
Contribution per attended booking80
Share of missed slots refilled20 %

Result: 768 per month.

Use contribution after costs that are avoided when the booking is missed, and account for successful slot refilling.

Step 05

Service Recovery Budget

Budget known refunds and rework effort together.

Recovery budget = cases × (refund + rework hours × hourly cost)

Show example inputs and result
Refund or credit per case80
Rework hours per case2
Loaded hourly cost35
Cases in period10

Result: 1,500 .

Include only entered recovery costs; any effect on future retention is uncertain.

Use the results in your plan

For a salon business, review stylist time, consumables, and chair overhead across the complete workflow. Use one consistent period and delivery unit: a appointment. Compare the assumptions with recorded outcomes after delivery, then update the estimate.
