Plan a profitable field day

Include driving, fuel, administration and completed stops in each route. Start with a completed job sheet, supplier quotes and a crew schedule. Each example below uses hypothetical values you can replace.

Step 01

Visits per Field Day

Plan a field day with travel and job administration included.

Visits = floor(available minutes / (service + travel + admin))

Show example inputs and result
Available minutes per day480
Average on-site minutes60
Average travel minutes per visit25
Admin minutes per visit10

Result: 5 visits per day.

Use a representative route average. Breaks and unusual access delays must be removed from available time or entered explicitly.

Step 02

Delivery Cost per Stop

Include both paid route time and vehicle operation in delivery cost.

Cost per stop = (hours × driver cost + distance × vehicle cost) / stops

Show example inputs and result
Paid route hours8
Loaded driver hourly cost25
Route distance160 km
Vehicle operating cost0.45 per km
Completed stops32

Result: 8.5 per stop.

Compare completed stops and total paid time. Vehicle cost must exclude driver pay to avoid double counting.

Step 03

Route Fuel Budget

Estimate fuel cash needs using vehicle consumption and route distance.

Fuel spend = distance / 100 × litres per 100 km × price per litre

Show example inputs and result
Distance in period2,500 km
Fuel consumption9 L / 100 km
Fuel price per litre1.7

Result: 382.5 .

This covers fuel only. Idling, loading and actual driving conditions can change consumption.

Step 04

Minimum Service Charge

Cover travel and minimum delivery effort in a small booking.

Minimum charge = ((travel + work) × hourly cost + travel cost) / (1 − margin)

Show example inputs and result
Round-trip travel hours1
Minimum delivery hours1
Burdened hourly cost40
Travel and setup cost20
Target margin25 %

Result: 133.3333 .

Travel and setup happen even when the on-site task is short. The minimum charge allocates these unavoidable costs.

Use the results in your plan

For a asphalt contractor business, review material delivery, equipment, and preparation across the complete workflow. Use one consistent period and delivery unit: a paving job. Compare the assumptions with recorded outcomes after delivery, then update the estimate.
